COMMITTEE CONTINUITY · DOMAINS · ACCESS

A website handover is a club-governance job, not just a technical one.

The biggest risk is rarely the colour of the website. It is the club discovering that a domain, renewal notice or administrator account belongs to a volunteer who has left. A good handover keeps ownership with the club, gives each person appropriate access and makes routine updates possible without relying on one memory.

Use this at least four weeks before a role changes

Ask the outgoing and incoming volunteers to work through the eight checks together. Record the answers in a committee-controlled document, confirm that renewal contacts are current, and let the incoming volunteer complete one safe update while help is still available.

Keep the record useful but secure

Record account owners, recovery routes, renewal dates and responsibilities. Do not place passwords in committee minutes, ordinary email chains or a document shared with the full membership. Use the service's named-user access and recovery tools wherever possible.

Repeat the check once a year

Roles, bank cards, email addresses and suppliers change. Add a short website-and-domain review to an annual committee agenda so ownership and access remain current even when no handover is expected.
